Policy on the Use of Generative AI in the Writing Process

A new policy has been established in response to the increasing adoption of generative AI tools by content creators. The objective is to enhance transparency and provide clear guidelines for authors, editors, reviewers, readers, and contributors. The publisher will monitor developments in this area and update the policy as necessary. It is important to note that this policy pertains exclusively to the writing process and does not apply to the use of AI tools for data analysis in research.

Guidelines for Authors

When utilizing generative AI or AI-assisted technologies, authors should focus on enhancing the language and readability of their work. Human oversight is critical to ensure the quality and accuracy of the content. Authors are responsible for reviewing and editing the AI-generated content before submission.

Declaration of AI Usage

To disclose the use of AI tools in the writing process, authors must include the following statement at the end of their manuscript under a new section titled "Declaration of Use of AI in the Writing Process," before the References list:

The author(s) used [NAME TOOL/SERVICE] during the preparation of this work to [REASON]. After utilizing the tool/service, the author(s) thoroughly reviewed and edited the content as necessary and assumed full responsibility for the publication's content.

This declaration will be required for all published articles starting from Vol 4 No 2, August 2025.

Exceptions & Clarifications

Basic tools like grammar and spelling checkers are excluded from this policy. If no AI tools were used, authors should state “nothing to disclose.” Furthermore, AI cannot be listed as a co-author or referenced as an author. Authorship is a responsibility that only humans can assume.

AI Evaluation

AI-generated writing structures may be identifiable by editors. The use of AI will be evaluated on a case-by-case basis.

Is this Policy Applicable to AI Used in Research?

No, this policy applies only to generative AI used in scientific writing. It does not prohibit the use of AI tools in research methodology, including data processing. If AI tools are employed, they should be detailed in the Methods section of the manuscript.

Use of Generative AI Tools for Image Creation

The use of AI-generated images depends on their type and usage rights:

  • Explanatory & Concept Images: Allowed if verified. AI tools can be used to generate diagrams or illustrations explaining concepts. Ensure the images are accurate and convey the intended message.
  • Artistic Renderings: Allowed if rights are clear. AI can be used to create drafts for artwork like cover designs, which can later be refined by professionals.
  • Factual & Evidential Images: Not allowed. AI tools should not be used for images supporting scientific claims as these require verified accuracy.

For Reviewers

Reviewers should treat submitted manuscripts as confidential documents. Uploading the manuscript into AI tools may violate confidentiality, proprietary rights, and data privacy, especially if personally identifiable information is present. Reviewers are fully responsible for the content of their reviews.

For Editors

Editors must treat manuscripts as confidential documents and refrain from uploading them into generative AI tools to avoid violating confidentiality and privacy rights.
